We are looking for a motivated and detail-oriented Administrative Assistant to support our mission and assist in the daily operations of our organization.
Position Summary:
The Administrative Assistant will provide essential support to the Executive Director in areas including fundraising, donor relations, accounting, and office administration. This role requires strong organizational skills, attention to detail, and excellent communication abilities. The position works closely with the Executive Director and the Darke County United Way Board to ensure smooth and efficient operations.
Key Responsibilities
- Provide administrative support to the Executive Director, including scheduling, correspondence, and document management.
- Coordinate and manage direct mail programs, including donor thank-you letters and fundraising materials.
- Maintain and update the donor database, ensuring accurate tracking of pledges, payments, and billing.
- Process donations and other contributions, ensuring timely and accurate deposits.
- Assist with financial record-keeping, including budget tracking and reporting.
- Foster and maintain positive relationships with the Board of Directors, donors, and community members to enhance the organization’s reputation and effectiveness.
- Support event planning and coordination for fundraising initiatives and community outreach programs.
- Represent United Way of Darke County at workshops, seminars, and community events as needed.
- Perform additional duties as assigned by the Executive Director.
Education & Experience
- High school diploma or equivalent required.
- Minimum 2 years of experience in administrative support (nonprofit experience preferred).
Skills & Abilities
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
- Strong financial acumen and experience with budgeting and financial tracking.
- Excellent verbal and written communication skills.
- Strong interpersonal skills with the ability to build relationships with community members and donors.
- Detail-oriented, organized, and able to multitask effectively.
- Flexible schedule to accommodate special events outside regular office hours.
- Must have a valid driver’s license and reliable transportation for business and fundraising activities.
- Ability to pass a comprehensive background check, including employer references, criminal history, credit check, and drug screening.
